The BTC conducts operations and compliance related training and courses to bankers worldwide. These are typically two to five days training courses with specialized faculty, speakers, etc. The operational challenges included: |
Planning and scheduling of courses |
Planning and scheduling of facilities |

Planning and scheduling of trainers and specialists |

Transport and accommodation management |

The Given |
Banks wishing to send their representatives needed to send email or written application for courses. These applications were processed manually as was the scheduling of trainers, guests, classrooms and facilities. Thereafter multi-lingual confirmations (based on the preference of the applicants) were sent out. |
Due to gaps in the system, there were confusing scenarios of fees. Some banking institutions were paying for bulk in advance, whereas other were paying for the number of participants yet others were paying after the end of the course. Maintenance of fee records, per-diem allowances for trainers and honorarium for guest speakers was a labor intensive task. |
Evolving over the years, there was a basic system designed in FoxPro for record keeping, and this required manual input of data. |
The Needs |
The need was to automate the processes starting with a web interface where the courses were outlined. Applications were acceptable via the web interface only (with the capability of registering bulk applicants in one step). Once the required number of participants was achieve, automated, language specific confirmations were sent out, the dates reflected on faculty calendars and notification sent to the trainers and to guest speakers via email. |
Facility management was crucial, with senior bankers given preference for premium accommodations and others to juniors. Program and participant details were sent out F&B department for provisioning of appropriate snack and foods, and to the transportation department for provisioning local transportation and sight-seeing. |

Building the BTC software |
The system was planned with web services concepts so as to ultimately integrate with the ERP system in place. Our solution was to accommodate for MS SQL database with easy migration to Oracle 9i at some time in the future. Customer and Management Reports were generated using the preferred Crystal Reports: |
